Please do not enter Social Security numbers, full payment-card data, banking credentials, customer passwords, authentication codes, medical information, or other highly sensitive regulated information into ezDealTrack.

1. Scope

This Privacy Policy explains how ezDealTrack (“ezDealTrack,” “we,” “us,” or “our”) may collect, use, store, and disclose information when you use ezDealTrack.com and related software, features, and services (“the Service”).

2. Information We May Collect

Depending on how you use the Service, we may collect or process the following categories of information:

Account information: name, email address, account identifiers, password hashes, account creation date, and account status.
Deal and workflow information: customer names, stock numbers, vehicle type, sale dates, delivery dates, deal status, checklist completion, notes, paid status, monthly goals, daily task/planning entries, and similar information voluntarily entered by users.
Security and authentication information: session identifiers, successful and failed login events, lockout information, security events, and similar records used to protect accounts and the Service.
Technical information: IP address, browser/device information, request metadata, timestamps, logs, and information generated by hosting, networking, or security providers.
Communications: information you voluntarily provide when contacting us for support or other requests.

3. Information You Should Not Submit

ezDealTrack is not intended to receive highly sensitive or specially regulated information unless we expressly state otherwise in writing. Do not enter:

Social Security numbers;
full credit/debit card numbers;
bank account credentials or online banking passwords;
customer passwords, PINs, or authentication codes;
medical or health information;
driver’s license images; or
other information that is not reasonably necessary for ordinary deal tracking.

You are responsible for ensuring that information you enter is permitted by applicable law, dealership policy, employer requirements, and your relationship with the customer or other data subject.

4. How We May Use Information

We may use information to:

provide, operate, maintain, and improve ezDealTrack;
authenticate users and maintain login sessions;
store and display account-specific deal information;
provide monthly goals, deal counts, delivery tracking, and related functionality;
detect, investigate, prevent, and respond to fraud, abuse, spam, unauthorized access, and security incidents;
troubleshoot errors and maintain performance;
respond to support requests and communications;
comply with legal obligations; and
protect the rights, safety, and integrity of ezDealTrack, its users, and others.

5. Hosting and Service Providers

ezDealTrack may use third-party infrastructure and service providers to operate the Service. The current application may use Cloudflare services, including Cloudflare Pages, Workers/Functions, D1 database services, networking, and security features.

Service providers may process limited information on our behalf as necessary to provide infrastructure, security, hosting, storage, logging, networking, or other technical services.

6. Cookies and Session Information

ezDealTrack uses session cookies or similar technologies to keep users signed in, authenticate requests, and protect account access. These technologies may store or transmit session identifiers and related authentication information. Disabling cookies may prevent parts of the Service from functioning correctly.

6A. First-Party Usage Analytics

We may collect basic first-party usage analytics such as page path, page-view timestamps, and an anonymous browser identifier stored locally in your browser. We use this information to understand aggregate usage, approximate unique visitors, and which pages are used most often. The internal page-view tracker is not intended to store your raw IP address in the ezDealTrack analytics table.

7. How We May Share Information

We do not sell personal information to advertisers.

We may disclose information:

to service providers that help operate or secure the Service;
when required by law, subpoena, court order, or valid legal process;
when reasonably necessary to investigate fraud, abuse, security threats, or violations of our Terms;
to protect the rights, safety, property, or security of ezDealTrack, users, or others; or
in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to applicable law.

8. Data Retention

We may retain information for as long as reasonably necessary to operate the Service, maintain accounts, provide requested features, meet legitimate business needs, address security issues, resolve disputes, enforce agreements, and comply with legal obligations.

We do not guarantee indefinite storage of account or deal information. Users should maintain appropriate official records and should not use ezDealTrack as the sole permanent archive for important business data.

9. Security

We may use reasonable technical and administrative safeguards intended to protect information. However, no online system can be guaranteed to be completely secure. Users are responsible for protecting their passwords, devices, account sessions, and credentials.

10. Passwords and Account Access

Passwords are intended to be stored in hashed form rather than readable plain text. Password reset or account recovery may not be available. If you forget your password, we may be unable to restore access to the account or associated deal information.

11. Your Responsibilities

If you use ezDealTrack for dealership or employment purposes, you are responsible for determining whether your use is permitted by your dealership or employer and for obtaining any required permissions or notices before entering information about customers or transactions.

12. Your Choices and Requests

You may contact us regarding questions about your account or personal information. Depending on your location and applicable law, you may have rights concerning access, correction, deletion, restriction, or other treatment of personal information. We may need to verify your identity before responding to certain requests.

13. Children’s Privacy

ezDealTrack is intended for professional and business use and is not directed to children. We do not knowingly seek to collect personal information from children through the Service.

14. International Users

If you access the Service from outside the jurisdiction where its infrastructure or operator is located, information may be processed in other jurisdictions where service providers operate, subject to applicable law.

15. Changes to This Privacy Policy

We may update this Privacy Policy as the Service evolves. The updated version may be posted on ezDealTrack.com with a revised “Last Updated” date.
